[ TRADE SHOWS ]
Making opening day
The situation
A trade show is the rare freight deadline that genuinely cannot move. The hall opens on a published date, and a booth that arrives afterwards did not arrive.
There is a second deadline underneath the first one, and it is the one that catches people out: the venue’s move-in window. Convention centers accept freight in assigned slots, and a truck that shows up outside its slot waits, whatever it says on the paperwork. So the target is not a date. It is a window, at a specific dock, on someone else’s schedule.
What we do
We work backwards from the move-in window rather than forwards from the pickup. That sets the departure time, and the departure time decides the vehicle.
The run is dedicated, so the shipment is not sharing a deadline with anyone else’s freight, and it is timed to arrive inside the window rather than as early as possible. Arriving a day early at a venue that will not receive it is not an advantage.
If the original transportation plan has already failed and the shipment is sitting somewhere it should not be, that is a recovery, and it is the same job: collect it, and drive it to the hall.
Why it works
Booth freight is bulky, awkward and usually irreplaceable on short notice, which rules out anything that transfers between trucks. And because the constraint is a window rather than a date, the value is in controlling the departure. A dedicated truck can be held two hours and still hit the slot. Consolidated freight cannot.
If you are in this position right now
Have the venue, the hall or booth number, and the move-in window in front of you when you call, plus the crate dimensions. The window is the number that decides everything else, so bring it even if it is the only thing you know.
