Cargo van to a move-in window
The situation
A manufacturer needed booth materials and product samples delivered to a convention center before move-in closed for exhibitors setting up the next morning, after the materials were finalized later than originally planned.
What we did
Convention centers typically run move-in on a fixed schedule with limited dock access, and this venue was no exception. Dispatch confirmed the venue's receiving procedure in advance, including the requirement that drivers check in with event logistics staff rather than the building's regular dock office, a distinction that matters at venues running multiple events at once.
A cargo van was assigned instead of a larger vehicle, both because the freight didn't require it and because the venue's loading area had limited maneuvering room during a busy move-in period. The driver arrived ahead of the venue's cutoff but still had to wait behind two other exhibitors' vehicles queued at the same dock.
The result
Materials were handed off to the booth setup crew that evening, within the venue's move-in window.
